About the Lease Administrator
The Lease Administrator is responsible for performing lease administration functions to ensure compliance of lease terms, tracking of financial obligations for all lease documents, management of facilities and associated relationships with property managers.  

This is a remote position with preference for local candidates. The position is available to candidates who currently reside in the following states: AL, CA, FL, GA, IL, IN, KY, MI, NC, NV, PA, TN, TX.


What You'll Do: 

  • Create lease abstracts and enter data into Real Estate Management System including new leases, amendments, terminations, subleases, etc.  
  • Review of lease related documentation and abstraction of critical information including rent and other financial obligations. 
  • Collaborate with Finance and AP teams on rent payments and business license compliance.  
  • Maintain accurate contact information for all landlords within internal and external systems. 
  • Management of original lease documentation and maintenance of master lease files. Receive and set up all lease documents into Occupier in accordance with system requirements.
  • Receive all incoming mail for Real Estate department and routing appropriately.  
  • Main point of contact for external property managers regarding requests for Certificate of Insurances and Tenant Contact forms.  
  • Utilize, update and manage all tools and resources available to manage workload, including checklists, databases, logs and/or other related reporting tools.
  • Facilitate and track routing and signature of various documents/forms/lease documents and manage and coordinate lease documents and other correspondence for execution and distribution.  
  • Review and confirm that all components agreed to in LOI’s have been translated accurately into lease documents prior to lease execution. Proofread drafts of leases and lease related documents as directed. In collaboration with the SVP of Growth, review, mark up and prepare redline responses to counter-offers made by prospective tenants and their legal counsel. 
  • Review and revise transactional agreements in connection with real estate management and leasing. Documents include commercial retail leases, license agreements, estoppel certificates, SNDA’s, letters of intent, settlement agreements, lease commencement agreements, and other real estate related transaction documents.  
  • Review and approve payment of reconciliation statements and operating expenses. Negotiate recoveries of overcharges.  
  • Partner with Construction and Property Management personnel on Tenant Improvement projects to monitor work completion for critical dates and the triggering of lease commencement/rent commencement as well as TIA collection. 
  • Collaborate in the lease renewal process by engaging with Landlord and Upperline’s external transaction management partner and assist in the process as necessary. 
  • Participate and lead special projects including audit and negotiate w/multi-site landlords, missing reconciliations, CAM reconciliations reviews, etc. 
  • Assist tenants with any billing or account questions.
  • Assist facility management staff with any tenant account questions or lease questions. 

 Required Skills & Competencies

  • Two years’ commercial real estate experience.
  • BA/BS with related experience or associate degree  
  • Proficiency in Word, Outlook, and Excel 
  • Ability to handle a fast paced, deadline driven environment 
  • Ability to multi-task and prioritize assignments while delivering consistently high quality of work  
  • High level of attention to detail and accuracy 
  • Ability to work with little supervision and to seek help when needed 
  • Ability to build strong internal and external relationships 
  • Strong communication skills across multiple departments  
  • Experience and competence utilizing commercial real estate software platforms desirable  
  • Paralegal experience is desirable but not essential
